VAT Registration UAE Step-by-Step

VAT Registration in the UAE: A Step-by-Step Guide for Dubai Businesses

Navigating the VAT registration process is a fundamental requirement for businesses in Dubai and across the UAE. The entire process is managed federally by the Federal Tax Authority (FTA) through the online EmaraTax portal.

This means that whether your business is in Dubai, Abu Dhabi, or any other emirate, the steps to register for VAT are the same.

As FTA-approved tax agents, we’ve created this comprehensive guide to walk you through the entire process, from understanding the thresholds to submitting your application.

Who Must Register for VAT in the UAE?

Before starting the process, you must determine if your business is required to register. The FTA has set clear financial thresholds.

  • Mandatory Registration Threshold: Your business must register for VAT if the total value of your taxable supplies and imports in the last 12 months (or in the next 30 days) exceeds AED 375,000.
  • Voluntary Registration Threshold: Your business may choose to register for VAT if the total value of your taxable supplies or expenses in the last 12 months (or in the next 30 days) exceeds AED 187,500.

Failing to register within the specified timeframe after crossing the mandatory threshold will result in significant penalties from the FTA.

Documents Required for VAT Registration in Dubai

Preparation is key to a smooth application. Before you log in to the EmaraTax portal, gather the following documents (in digital format):

📄 Trade License: A valid copy of your Dubai (or other emirate) trade license.

🛂 Owner/Partner Visas & Passports: Copies of passports and Emirates IDs for all owners and partners.

👤 Contact Details: The mobile number and email of the authorized signatory.

🏢 Company Contact Details: Official address and P.O. Box.

🏦 Bank Account Details: A valid company bank account IBAN.

💼 Business Activity: A clear description of your primary business activities.

💰 Financial Data: Turnover figures for the last 12 months (must be supported by documents like an audit report, invoices, or bank statements).

🧾 Sample Invoices: 5-10 sample invoices (both sales and purchase) to show your business activity.

✈️ Customs Details: If you are involved in import/export, you will need your customs registration details.

How to Register for VAT in Dubai: Step-by-Step Process (EmaraTax)

Here is the exact step-by-step process for VAT registration on the EmaraTax portal.

Step 1: Create an EmaraTax Account

You must first have a user account on the EmaraTax portal. If you don’t have one, you’ll need to create a new user profile using your email and phone number.

Step 2: Log in and Select "VAT Registration"

Once logged in, navigate to the user dashboard. You will see an option to “Register” for a tax. Select “Value Added Tax (VAT)” to begin the application.

Step 3: Complete the Registration Form

The application form is divided into several sections. You must complete each one accurately.

Entity Details:

Provide your company’s legal name, trade license details, and legal structure.

Contact Details:

Input your registered company address and contact information.

Bank Details:

Enter your company’s IBAN. This must be a UAE-based bank account in the company’s legal name.

Business Relationships:

Disclose if you have any related businesses or partners.

About the Business:

Detail your primary and secondary business activities.

Declaration:

This is the most critical part. You will declare:

Your 12-month turnover to prove you meet the threshold.

Your expected turnover for the next 30 days.

Whether your registration is Mandatory or Voluntary.

Step 4: Upload Required Documents

You will now be prompted to upload all the supporting documents you prepared earlier. Ensure all scans are clear, valid (not expired), and in the required format (e.g., PDF, JPG).

Step 5: Review and Submit

The portal will give you a final summary of all your entered information. Review every single field for typos, incorrect numbers, or errors. Once you are confident, sign the declaration and submit the application.

Step 6: Await FTA Approval and TRN

After submission, the FTA will review your application. This can take anywhere from a few days to several weeks. If your application is approved, you will be issued a Tax Registration Number (TRN) and a VAT certificate, which you can download from your EmaraTax dashboard.

Common Mistakes That Delay VAT Registration

Our experience as tax agents shows that simple mistakes are the most common cause of application rejection or delays:

  • Incorrect Threshold Calculation: Miscalculating your turnover and registering under the wrong threshold.
  • Expired Documents: Submitting an expired trade license or passport.
  • Unclear Scans: Uploading documents that are blurry or unreadable.
  • Mismatched Bank Details: The company name on the bank letter does not exactly match the trade license.
  • Vague Business Activity: Not providing a clear description of your business operations.
